REGISTRATION - Refund Policy
DWMHA has a detailed refund policy (subject to change annually). All refund requests must be submitted in writing to the Registrar at registrar@whalers.org.
Requests must include:
- Player name
- Division
- Reason for withdrawal
Refund amounts are based on the date the written request is received unless otherwise specified.
Refund Eligibility
Refunds will only be provided under the following circumstances:
Voluntary Withdrawal
If a player withdraws voluntarily (e.g., pursuing other sports or interests):
- Eligible for pro-rated refund until December 31
- No refunds after December 31
Non-Voluntary Withdrawal
If withdrawal is due to:
- Relocation
- Season-ending injury
- Medically unfit to play
A pro-rated refund may be issued at any time during the season.
Medical Withdrawal
If illness or injury prevents participation for the remainder of the season:
- A physician’s note is required
- Refunds will be pro-rated based on remaining season time
- Administrative or applicable costs may apply
Important Refund Information
- Refunds are based on remaining weeks in the season
- No refunds for illness, injury, or suspension during short periods of time
- Refunds will not be processed until:
- Team fees are paid in full
- Jerseys and/or equipment are returned in good condition
- Refunds after October 15 will not include the $72 Hockey Canada Insurance Fee
- All refunds are subject to a $10 administrative fee
- Registration refunds do not apply to:
- Conditioning camps
- Tryout fees
- Team fees
- Development sessions
U7 & U9 First-Year Players
Players in U7 and U9 divisions are eligible for a full pro-rated refund at any time during their first year of registration.
Additional Notes
- No refunds for retroactive requests or missed sessions.
- Exceptions to the refund policy must be approved by the DWMHA Executive Board of Directors.
